UCO Human Resources is working alongside Paycom to sunset the “Job Template” functionality that hiring managers were instructed to utilize prior to this transition. This change is system-wide for all Paycom clients.
“Job Templates” were designed to provide hiring departments with a baseline job description, position title and wage range to work off when submitting a job requisition.
As of Nov. 7th, 2022, hiring managers will submit job requestions by “Position” instead of “Job Template”.
Submitting by “Position” is similar to the “Job Template” submission process with a few key differences:
- Hiring managers will need to select the appropriate position family and position title to proceed with the requisition.

- The position title and banner number will populate the job description assigned to the chosen position as opposed to a blank template.
- If the position does not exist because a new one is being requested, hiring managers must choose the closest position to the one they are hoping to hire. The rest of the requisition form is completely customizable and “new” should be requested in the requisition questions to generate a new position number.

- There will be new required fields that hiring managers will need to fill out before they are able to hit submit:
- Requisition Question Group -> Should always be “Posting Questions”
- Requisition Approval Group -> Should be your department’s approval group.
- Job Application Template -> Should always be “Application”
- Global Question Template ->
- Should be “Staff or Student Questions” for staff or student postings
- Should be “Faculty or Adjunct Questions” for faculty or adjunct faculty postings
- Legalese -> “Should be “UCO Legalese”
- Application Completion Message -> You can leave this alone. HR Final Review will ensure this to be correct.
There are also Job Level Question Templates, Follow Up Question Templates and Knock Out Question Templates/Message that can be chosen. We recommend you leave that blank so HR Final Review can ensure these are correct. If you would like to request Knock Out Questions or Additional Questions in the application, please request these in the requisition questions:

Lastly, the full job description and required qualifications will all be submitted into one field as opposed to two:

Otherwise, the rest of the process on the hiring managers end is the same. The requisition will go through the approval group as usual and once the listing is posted the rest of the hiring process remains unchanged.
Approval Group Members
If you are the member of an approval group, the biggest change to the process is that the ability to change the position title and number within the Job Details section of the requisition will no longer be available. Because the position title and number are acting as the baseline, the number is set in the Job Detail section until the posting is approved and posted.
As an approval group member, you will want to ensure that the position number is correct in the requisition questions. HR Final Review will switch the title and number as a part of their approval process and will utilize the requisition questions to inform their approval process.

We thank the campus for their flexibility and grace as we quickly transition over to this new process. It became imperative that this transition be expedited as the “job template” functionality was heavily glitching and increasingly causing delays for hiring departments attempting to post their vacancies.

Talent Acquisition will be hosting virtual training sessions so that hiring managers can learn the new submission process and ask questions.
